Parents Management Guide

  1. Parents are defined as anyone that pays or takes full responsibility of wards in the school.
  2. For verification of parenthood, parents’ means of identification with wards birth certificate will be demanded by the school at the point of admission.
  3. Parents are obliged and mandated to fill all information on the admission form and appendix their passport photograph to the admission form.
  4. Any proof of medical test to confirm blood group, genotype and other medical conditions will be required at the point of entry of ward(s) into the school.
  5. Parents are to clarify the means of transportation of ward to the school and from the school.
  6. In the place of involving a third party in transporting wards, parents are to register the person with the school.
  7. Appropriate information about a third party residence and telephone number will be demanded before allowing such person to pick the wards.
  8. Parents cannot have more than two persons duly registered as a third party in transporting the wards.
  9. Father or Mother of ward does not have the permission to stop either of the two from transporting the ward(s) except there is presentation of restraining order from court by any of the parents.
  10. Lateness of a learner attract punishment by the school in the order of delay at pickup, engagement of learners during break period and parent’s fine.
  11. Parents are not allowed in the classrooms at any period of the term except for authorized persons and their visit supervised by a teacher or constituted authority.
  12. The criteria for allowing guests and parents into classrooms involve assessment of teaching operations and parents’ tour.
  13. Parents’ deadline for payment of fees is the fourth week of resumption. 
  14. Violation of deadline will attract a 15% extra charges for late payments.
  15. Parents that do not pay on time risk their ward(s) from participating in the school club activities which can have severe impact on the learners.
  16. The school starts school fees drive from last week of the holiday. Parents should be informed that school representatives will commence calls and messages from this period. It is the operation of the school to remind parents before resumption about school fees to make the school plans and operations go smoothly.
  17. Calls made to parents based on ward’s birthday and School fees reminder will be directed to ward’s father.
  18. Parent’s complain will be strictly worked on and feedback will be given to such parents.
  19. In the case of argument with any of the school staff, parents should make a report of staff unruly behaviour to the school head.
  20. Any act of parent’s violence in the school will automatically lead to expulsion of ward(s) from the school.
  21. Parents should not engage any school staff outside school without informing the school about the engagement.
  22. In the event of Parent’s transaction with school staff, the school will not be mandated to involve in transactions in case of unfavourable outcome.
  23. Any complain about staff by parents should be written in the form of notes, letter or message.
  24. No parent is permitted to print or reprint schools’ materials at any point in time.
  25. All materials available in the school must be bought in the school.
  26. Parents’ attendance at parents’ forum is very important to decisions made by the school. A parent cannot be absent twice in a session.
  27. Parent Representative Forum will consist of a parent from each class in the school and their tenure will run for a session.
  28. Issues school fees drive are not subject to be discussed by parents at the parent forum.
  29. There is scholarship scheme in the school to accommodate and reward parents that have paid faithfully in the past, but the present condition hinders them to pay for all pupils. Terms and conditions however apply.
  30. The criterion for scholarship scheme is parent’s inability to pay despite a child’s brilliance. The scholarship only goes for this criterion and would be just for a part of the tuition fees.
  31. Parents using the school bus system should be prompt at the park at the time given to them. Any delay at the pickup means the bus will not transport such child for the day.
  32. No parent shall be allowed to follow the school bus no matter the condition. Designated staff are the only persons authorized to move in the bus.
  33. Complain made by parents to teachers should also be made to the head of school for documentation and school inspection of action by such teacher You are the most important person to us as school and we will like you to give us feedback about your ward from time to time. We are here to serve you.
  34. On birthday, whatever gift a child brings to school must be submitted in the office of the admin and the school must make an appreciative message to the parent.

School Fees Policy

1. Introduction

This document contains our policy on fee payment. Please read through to have full understanding about our school fees culture.

1.1 The prompt payment of school fees is integral and the life blood of the school. We cannot overemphasize its importance, smooth administrative running hinges on the prompt payment of fees.

1.2 School fees are always due in expiration of an old term and in start of the current school term.

1.3. School fees are non-refundable.

1.4 Term dates would be on the school notice board and on the school website for all parents to view to facilitate early planning of fees payment.

2. Aims and Objectives

2.1 The aim of this policy is to ensure a robust, non-discriminatory and fair approach to the method by which we deal with parents as regards school fees payment.

2.2 The objective of this policy is to ensure there is consistency in terms of approach and methodology. It is imperative that a standard process exists and that all involved are aware of this.

3. Payment of Fees

3.1 Parents or guardians jointly and severally (where applicable) agree to pay the fees applicable to each term directly to the schools nominated bank account.

3.2 Fees for each term are due and payable before the commencement of the term to which they relate. If an item on the fees invoice is under query, the ‘undisputed’ balance of that fees invoice must be paid.

3.3 Cash payments are not accepted at the school for the payment of school fees. Accepted methods of payment for fees will remain bank transfers.

4. Payment of Fees by a Third party

4.1 Upon reaching an agreement with a third party on school fees payment, please note that the school is not liable if anything goes wrong in the payment process. Parent and the third-party are to bear the responsibility of such agreement and payment of fees must be paid in full.

4.2 The parents shall indemnify the School against all losses, expenses (including legal expenses) and interest suffered or incurred by the School if the School is required to repay all or part of any sum paid to it by a third-party credit provider on behalf of the Parents.

5. Early Payment Discount

5.1 Fees which are paid in full on or before the first day of term will qualify for an early payment discount of 5%per term. Other discounts are available for paying multiple terms in advance. Please see the school accountant, administrator or any representative of the school management for details.

6 Instalment arrangements (Payment Plan)

6.1 An agreement by the school to accept payment of fees by instalments is non-negotiable and will be subject to separate agreement(s) between the parents and the School.

6.2 Any agreements (payment plans) will be confirmed in writing and signed by both parties.

6.3 Parents who have a prior agreement to pay by instalments via the bank will be allowed to continue to do so if they pay the agreed amount on time.

6.4 If parents have entered a payment plan with the school and more than one payment is missed, then the school reserves the right to request the full amount immediately.

6.5 If instalments are missed and/or paid late then Trustees will be notified of the amount owing and details of the missed/late payments. Appropriate action, which could include exclusion, will then be taken.

7 Late Payments

7.1 A 15% charge on tuition will be charged if fees are not paid on time. Parents will be notified by text and/or letter to bring their account up to date within the next 4 weeks.

7.2 If fees remain unpaid, a report of all outstanding fees and payments made and/or missing will be passed to the trustees and possible exclusion of child from all school services may follow.

7.3 If a debt rises to an unacceptable level, the school reserves the right, in extreme cases to exclude the pupil on three days’ written notice if fees remain overdue for payment. By an unacceptable we mean payment of fees for a single term and failure to reach feasible agreement of payment.

7.4 If a pupil is excluded for a period of 28 days (a month), he / she will be deemed withdrawn from the school and all administrative process of withdrawal would be conducted if exclusion from school is done without notice. Upon exclusion, if fees are payable, a letter of notice will be sent to the Parents, related financial and legal authorities to ensure payment is facilitated.

7.5 The parents shall also be liable to pay all costs, fees, disbursements and charges including legal fees and costs reasonably incurred by the school in the recovery of any unpaid fees regardless of the value of the school’s claim.

8. Refund or waiver of school fees

8.1 Save where there is a legal liability under a court order or under the provisions of this agreement to make a refund, fees will not be refunded or waived if:

8.2 The pupil is absent through illness; or

8.3 A term is shortened, or a vacation extended; or

8.4 The Pupil is released home before the normal end of the school day; or

8.5 Government approved holidays or

8.6 The school is temporarily closed due, for example, to adverse weather conditions; or

8.7 For any other reasonable reason.

9. Fee Increases

9.1 Fees are reviewed annually and are subject to increase from time to time.

9.2 If parents receive less than half a term’s notice of a fees increase, they may give to the school written notice of withdrawal of the pupil within 21 days and will not be liable to pay fees in view of notice.

9.3 The pupil deposit, if paid, will be refunded without interest less any sums owing to the school.

10. Information about fees

10.1 The Parent consent to the School making enquiries of the Pupil’s previous schools for confirmation that all sums due and owing to such schools have been paid.

10.2 The parents also consent to the School informing any other school or educational establishment to which the pupil is to be transferred if any Fees of this School are unpaid.

11. Compliance to Financial Laws

11.1 From time to time, the School may need to obtain satisfactory evidence such as sight

of a passport of the identity of a person who is paying fees.

11.2 Financial institutions frown at cheques that bounce; we therefore insist that parent make double check before turning in their cheques.

11.3 Parents are liable to any consequence of a bounced cheque by the financial institution this includes both financial and non-financial responsibility.

11.4 We are law compliant hence, any information demanded as regard payment made to the school by the government or any of its agency would be provided.

NOTE: Our school fees policy is flexible hence reviews would be done from time to time to ensure a smooth administrative structure for compliance.
